Assistant to the President and Executive Vice President - Provide confidential administrative and support services for the President/CEO and Executive Vice President, including, but not limited to typing correspondence, drafting documents, meeting preparation, recording of minutes and scheduling for Executive Committee and Board of Directors. Coordination and organizational support to specific projects and committees/task forces as assigned by the President/CEO including, but not limited to: planning, scheduling, agenda development, speaker assignment, meeting preparation, minutes and staff reports.
Coordinate, interview, assist in hiring and oversee the front desk personnel and other administrative staff as required. Manage and direct activities of the Administrative Specialist and the Administrative Assistant/Communication Specialist and other administrative assistants as appropriate, to determine priorities and assignments; conduct yearly reviews.
Responsible for the daily, professional operation and oversight of the Chambers accounts payables, maintaining an accurate record of disbursements and drafting checks. Handle employee benefit information and issues. Maintain timely, accurate and confidential personnel leave, benefit records and contracts, if applicable for employees.
Provide assistance to other senior staff as needed, as well as maintain contact with senior level corporate/business management, elected officials, and the public.
Responsible for facilities management for the Chamber to include the Economic Development, Community and Minority Business and Partnership for Workforce Development departments as well as the leasing tenant space.
Coordination of telephone, cell phone and computer issues including, obtaining various bids, equipment selection and contract and maintenance agreement negotiation. Scheduling of regular equipment maintenance and emergency repair for all computers, printers, copiers and phone system along with building and maintaining relationships and follow-up with the vendors for each of these areas.
Provide staff support for Chamber programs and events; perform other duties as assigned.

Planning and preparation of Breeders’ Cup Championship week, including organization and communication with: Executive VIP’s, board members, host track staff, VIP headquarters hotel conference director and catering managers along with limousine/motor coach director. Assistant to director of communications – Organize and maintain: publications and video library, slide directory for Breeders’ Cup day photos and publicity files. Maintain Internet web site for communications department. Coordinate simulcasting and program distribution with various racetracks, assist in production of Breeders’ Cup day program, aid in distribution of media and VIP gifts, coordinate pre-entry press conference and credential access with publicity directors and host track. Assisted with writing, proofreading, layout and fulfillment of “Racing to the Breeders’ Cup†weekly newsletter. Supervised temporary employees, contracted printing, coordinated efforts with publicity director at lead marketing firm.
Maintained filing system for all racetracks participating in the Breeders’ Cup National Stakes Program. Responsibilities included distribution of correspondence and promotional materials to more than 50 racetracks, collection of all items utilized on race-day, and follow-up with host tracks on post-race materials. Responsible for assembling information, fulfillment and distribution of press kits and press folders for approximately 1,200 credentialed media.
