Locate and obtain listings of jobs that are publically listed for hard bids; thereafter it must be determined whether the job matches the capabilities of the field personnel and staff, whether the locale is of sufficient distance to perform the job, and whether the job will integrate well with the outlook of all jobs being performed or scheduled to perform at a later date.
Investigate which customers are bidding the job and determine whether to price only to the customers where a good business relationship has been established or to hard bid it to all contractors that are listed. Furthermore, are there any contractors bidding the job who should not get our price because they have a known history of shopping bids? Is there a contractor that needs to get a higher number than others bidding a job because they have shown in the past that they will renege on payments or perform poorly on a job?
Visit the job site of jobs being estimated, especially on renovations of existing buildings. Many jobs are lost or underbid from nonperformance of this very important duty due to poor time and resource management. Not only will a job site visit avoid catastrophe but it is an excellent opportunity to advertise the company, and to network with more customers. Customers appreciate seeing their subcontractors on the job site visit and often give them preference in their contract bids.
Determine the scope of work. All of the construction drawings along with the specifications must be closely reviewed so that it can be outlined and clarified in a proposal to the customer. What are the minimum size requirements of material? Is MC Cable allowed on the job? Are there expansion joints where conduit with expansion type fittings must be buried in the slab? Is PVC coated conduit a required specification for conduits in the slab? Is the electrical contractor responsible for purchasing a moisture detection system? These and many more questions must be ascertained and answered in order to have the most thorough contract proposal.
Determine the approximate cost in materials and labor to install electrical systems in new or renovated buildings and to quantify and analyze it in a bid end spreadsheet.
Value engineer the job. Can the project be won because we can find cost savings to the owner without compromising performance or quality? Many times projects have unnecessarily stringent specifications where a proposal can get a second look; not only because it is low, but because it clearly shows by line item the added cost resulting from over-specification.
Develop a database of job history that will calculate the average labor per square foot for jobs of various types, the rate of company overhead, and the current job market margins at which work can be booked.
Procure and efficiently use estimating software by developing handy and accurate assemblies utilizing actual models installed in the field and adjusting NECA labor standards to real world conditions and job performance data.
Maintain and update material databases that reflect the current market pricing of materials as well as the company’s actual costs for the same.
Develop working business relationships with vendor representatives that will give the company an edge when bidding jobs. Vendor relationships are not only important to score the work, but to perform it on time and within budget as well.
Build up a client base by building solid working business relationships with the customer. This is done by visiting their office, offering lunch meetings, and offering our services to assist with any design build projects they are budgeting or hard bids they are bidding.
Prepare a turnover meeting for awarded projects over to the project manager that includes the most recent set of drawings, specifications, addenda, job scope, estimate, and quotes.
